 For the Odoo Team,
 Fabien Pinckaers, Founder

This information will appear on your invoices and legals statements.

Odoo can manage multiple companies, but we suggest to setup everything for your first company before configuring the other ones.

 - Start by creating each bank account manually:
 Create Bank Accounts
 - Then, register your statements:

Before continuing, you should install the Chart of Account related to your country (or the generic one if your country is not listed).
 Install Chart of Account

A Chart of Accounts related to your country has been installed. You should review it and create any additionnal accounts now. It's recommended to not delete any accounts even if you don't need them for now.

 Review Chart of Accounts

Odoo has already preconfigured a few taxes according to your country.
Simply review them and check if you need more.

 Check the Taxes configuration:

To manage the tax applied when invoicing a Company, Odoo uses the concept of Fiscal Position: they serve to automatically set the right tax and/or account according to the customer country and state.

If you use the Sales app, you can also force a specific fiscal position by changing it directly on the Sales Order or Contract.

The multi-currency option allows you to send or receive documents (excluding expense claims) in currencies other than your own, to set up bank accounts in other currencies and run reports on your foreign currency activities.
Note: it's important to configure multi-currency before balancing your Accounts.

 To use the multi-currency option:

 - Activate the corresponding option in the Accounting Settings
 - Review the list of available currencies (from the Accounting Configuration menu)

Unless you are starting a new business, you probably have a list of Customers and Vendors you'd like to import into Odoo.

We can handle the whole importation process for you: simply send your Odoo Project Manager a CSV file containing all your data.

We can handle the whole importation process for you: simply send your Odoo Project Manager a CSV file containing all your data.

To get a correct starting point in Odoo, enter your debit / credit for every accounts.

 Enter your Accounts Balances

 - In your old accounting software, print a Trial Balance
 - In Odoo, create a journal entry with a debit and a credit for every account of your new Chart of Account

If you have a just starting your business, your opening balances are likely to all be zero.

Record all your debits and credits in your company currency (Odoo will compute the amount automatically for accounts that are in another currency).

Registering outstanding invoices and payments can be a huge work, so you can start using Odoo without it, by:

 - Sending customer statements (outstanding invoices) manually during the transition period
 - Registering payments related to outstanding invoices separately in a different account (e.g. Account Receivables 2014)

 1. Register Outstanding Invoices

First, register any outstanding customer invoices and vendor bills:

 2. Register Unmatched Payments

 Next, register any unmatched payments:

Odoo Accounting has many free extra-features:

When inviting users, you need to define which access and rights they are allowed.
This is done by attributing a role to each users.
There are 3 different roles in Odoo:

 Billing (Limited access)

Use this role to manage only billing.

 Advisor (Full access)

The manager has full access to the application plus miscellaneous operations like salary, assets...

 Accountant (Advanced access)

This role is suited for the day-to-day work of an accountant:

 - record invoices
 - manage bank feeds
 - reconcile entries

Don't share login details: if you do, you won't be able to maintain a reliable audit trail of access and data changes.

Test these 3 customer flows to get familiar with Odoo:

 Invoice payment by Wire Transfer

 - Create a Customer Invoice
Usually generated from Contracts, but can also come from Sales Orders or Deliveries.
 - Record Bank Statement (or import file)
Depending on your volume of transactions, you should do this from once a week to several times a day.
 - Reconcile Bank Statement

 Invoice payment by Check

 - Create a Customer Invoice
 - Record Check payment on the Invoice
Simply click on the 'Pay' button.
 - Create a Deposit Ticket with the check
This allows you to record the different payments that constitute your bank deposit.(You may need to activate the feature first)
 - Record Bank Statement
 - Reconcile with existing transaction
In this case, Odoo should automatically match the bank statement with the previously recorded check transaction.

The Deposit Ticket module can also be used to settle credit card batch made of multiple transactions.

 Customer follow-up

 - Reconcile Bank Statements
 - Check unpaid invoices
Run an Aged Receivable report and check which customers still owe you money.
 - Send follow-up letters

You can setup Odoo to automatically sent by regular mail an Aged Receivable report to you customers, thanks to DocsAway integration.

Here's the proper way to manage your vendors:

 Encode your Bills

 - Create the bill in Odoo with a proper due date, and create the vendor if it doesnt' exist yet.
 - Cash transactions (for which there is no invoice or bill), should be entered directly into your Cash Registers bank account.
 - Validate the bill after encoding the products and taxes.

 - Vendor bills can also be generated from a purchase order or an incoming shipment (activate in Accounting Settings)
 - If you keep the payment term and the due date empty, it means it's a direct payment.

 Pay your bills

 - Mark the bills to pay Group or filter your bills to see those due in the next week, then open each bill individually, click on 'Pay' and select the payment method you prefer.
 - Print checks From the Vendor Payments list, select those you want to pay and click on Print Check (you may first need to activate the check feature in the Accounting Settings)
 - Or generate payment orders Create a Payment Order and select the bills you'd like to pay as Entry lines (only the validated bills will appear).

 Reconcile Bank Statements

 - Odoo should do most of the reconciliation work automatically, so you'll only need to review a few of them when a 'Reconcile Items' button appears on your Vendor Bills dash.

Congratulations, you're done !

We hope this planner helped you implement our accounting application.

Don't hesitate to send us an email to describe
your experience or to suggest improvements !
